Petsly (Pty) Ltd ("Petsly", "we", "us", or "our") respects your privacy and is committed to protecting your personal information.
This Privacy Policy explains how we collect, use, store, share, disclose, and protect personal information when you use the Petsly website, application, platform, and related services.
This Privacy Policy also explains how we handle Google user data when you connect your Google account or use Google-integrated features, including Google Calendar sync.
Scope of this policy
This Privacy Policy applies to:
- visitors to our website
- pet owners who create or use a Petsly account
- users who create, manage, or access pet profiles
- users who connect their Google account to Petsly
- veterinary practices, insurers, partners, or businesses that interact with Petsly
- any person whose personal information is processed through Petsly.
For purposes of South African privacy law, including the Protection of Personal Information Act, 4 of 2013 ("POPIA"), Petsly is generally the responsible party for personal information processed through the Petsly platform, unless we are acting on behalf of another responsible party under a separate agreement.
Where we process information on behalf of a veterinary practice, insurer, employer, business customer, or other partner, that party may be the responsible party and Petsly may act as an operator, depending on the arrangement.
Information we collect
We collect different categories of information depending on how you use Petsly.
2.1 Account and contact information
We may collect:
- name and surname
- email address
- phone number
- account login details
- profile information
- communication preferences
- support and account settings.
2.2 Pet profile information
We may collect information about pets that you create or manage on Petsly, including:
- pet name
- species
- breed
- date of birth or estimated age
- sex
- weight
- colour or identifying details
- microchip number, if added
- food, diet, and nutrition details
- allergies
- lifestyle information
- household or owner-linked information
- other information you choose to add to the pet profile.
2.3 Pet health, care, and medical information
We may collect pet health and care information, including:
- vaccination records
- preventative treatment records
- parasite control records
- appointment history
- veterinary visit notes
- medical history
- clinical records
- medication records
- treatment records
- test results
- surgical history
- chronic condition information
- insurance-related pet health information
- uploaded documents, files, images, or records
- notes, logs, or care updates added by you.
Pet health information may be sensitive by nature because it relates to veterinary care, treatment, medical history, insurance, or health-related decision-making.
2.4 Google user data
If you choose to connect your Google account, Petsly may request access to limited Google user data, depending on the Google features you enable.
This may include:
- your Google account email address and basic profile information, where used for sign-in, account creation, account identification, or account linking
- Google Calendar data, where used for pet-related appointment, reminder, care, or calendar-sync features.
Google Calendar data may include:
- calendar event titles
- event dates and times
- event descriptions
- event locations
- reminders
- availability information
- calendar identifiers
- information required to create, display, update, or delete pet-related calendar events.
Petsly only accesses Google user data where you authorise access through Google's OAuth consent process.
2.5 Usage, device, and technical information
We may collect:
- IP address
- browser type
- device type
- operating system
- pages viewed
- features used
- dates and times of access
- referral source
- session information
- approximate location derived from technical data
- error logs
- diagnostic information
- performance information
- security logs.
2.6 Communications and support information
If you contact us, respond to surveys, submit feedback, or request support, we may collect:

- support queries
- feedback
- attachments you send to us
- records of our communications with you
- information needed to resolve your query.
2.7 Business, veterinary, insurer, or partner information
Where you interact with Petsly as a business, veterinary practice, insurer, partner, employee, contractor, or representative, we may collect:
- name and surname
- work email address
- phone number
- company or practice name
- role or job title
- professional contact details
- correspondence records
- account and access permissions
- billing or administrative information.
How we collect information
We collect information:
- directly from you when you create an account, complete forms, add pet information, upload documents, use features, or contact us
- automatically when you use the website or application
- from Google, where you authorise Google account access or Google Calendar access
- from veterinary practices, insurers, businesses, employers, service providers, or other partners where you have authorised or requested that information be shared with Petsly
- from cookies, analytics tools, logs, and similar technologies
- from publicly available sources, where lawful and relevant.
How we use information
We use personal information to:
- create and manage your Petsly account
- verify, authenticate, and secure access to your account
- provide, operate, and maintain the Petsly platform
- create, manage, and display pet profiles
- store, organise, and make available pet health records
- support appointment, reminder, vaccination, preventative care, and pet health tracking features
- sync pet-related appointments and reminders with Google Calendar, where authorised
- allow authorised sharing of pet records with veterinary practices, insurers, or other parties selected by you
- provide customer support
- respond to questions, requests, complaints, or feedback
- send service messages, account notices, security alerts, and policy updates
- improve our platform, features, user experience, security, reliability, and performance
- troubleshoot bugs, errors, and technical issues
- understand usage trends and product performance
- develop new Petsly features and services
- prevent fraud, misuse, unauthorised access, abuse, or unlawful activity
- comply with legal, regulatory, tax, audit, contractual, and insurance obligations
- enforce our agreements, policies, and terms
- protect the rights, property, safety, and security of Petsly, users, pets, partners, and the public.
How we use Google user data
Petsly uses Google user data only for the purposes disclosed in this Privacy Policy and authorised by you.
If you use Google sign-in or account-linking features, we may use your Google account email address and basic profile information to:
- create or log into your Petsly account
- identify your account
- secure your account
- connect your Google account to your Petsly profile.
If you connect Google Calendar, we may use Google Calendar data to:
- create pet-related calendar events
- display pet appointments, reminders, or care tasks inside Petsly
- update or delete pet-related calendar events where you request this
- prevent duplicate or conflicting reminders
- support appointment, vaccination, and preventative care tracking
- improve the reliability of calendar-sync functionality.
Petsly does not use Google user data for advertising.
Petsly does not sell Google user data.
Petsly does not use Google user data to build unrelated user profiles.
Petsly does not use Google user data for creditworthiness, lending, employment, or unrelated decision-making.
Petsly does not transfer Google user data to third parties except:
- where necessary to provide or improve the user-facing Petsly features you have enabled
- where necessary for security, debugging, abuse prevention, or service reliability
- where required by law
- where you have given consent.
Petsly's use and transfer of information received from Google APIs will comply with the Google API Services User Data Policy, including the Limited Use requirements.
How we share, transfer, or disclose information
We may share, transfer, or disclose personal information, including Google user data where applicable, with the following categories of recipients.
6.1 Service providers and operators
We may share information with trusted service providers who help us operate Petsly, including providers of:
- cloud hosting
- database storage
- file storage
- infrastructure
- authentication
- email delivery
- analytics
- error monitoring
- customer support
- security
- payment processing
- development, maintenance, and technical services.
These providers may only process information for authorised purposes and must protect the information they process.
Where Google user data is shared with service providers, it is shared only where necessary to provide or improve the relevant user-facing Petsly feature, maintain security, or operate the service.
6.2 Google and Google services
Where you connect your Google account, information may be exchanged with Google to enable the authorised integration, including Google sign-in, account linking, or Google Calendar sync.
6.3 Veterinary practices and veterinary professionals
We may share pet profile or pet health information with veterinary practices or veterinary professionals where:
- you request this
- you connect a veterinary practice to your Petsly profile
- you authorise a record transfer
- sharing is required to provide a feature you have selected
- sharing is necessary to support appointment management, veterinary care, or continuity of care
- the law permits or requires the disclosure.
6.4 Insurance partners
Where you use insurance-related features or request insurance support, we may share relevant information with insurers, underwriting managers, financial services providers, brokers, claims administrators, or insurance service providers.
This may include information required for:
- insurance quotes
- policy applications
- underwriting
- claims support
- benefit verification
- policy administration
- fraud prevention
- regulatory compliance.
We only share insurance-related information where necessary for the requested insurance-related service, where you have consented, where required by law, or where otherwise legally permitted.
6.5 Business customers and commercial partners
Where Petsly is provided through a veterinary practice, insurer, employer benefit programme, business customer, or partner arrangement, we may share limited information required to administer that arrangement.
We do not share unnecessary pet health information with an employer.
We do not share identifiable pet health information with a business customer or partner unless:
- you have authorised it
- it is necessary to provide the service you requested
- it is required under a lawful arrangement
- it is required by law.
6.6 Professional advisers
We may share information with our lawyers, accountants, auditors, insurers, consultants, and professional advisers where necessary for legitimate business, legal, compliance, insurance, or audit purposes.
6.7 Legal, regulatory, and safety disclosures
We may disclose information where necessary to:
- comply with law, regulation, legal process, or a lawful request
- respond to regulators, courts, law enforcement, or public authorities
- enforce our Terms of Service or other agreements
- protect the rights, property, or safety of Petsly, users, pets, partners, or the public
- investigate fraud, security incidents, abuse, or unlawful activity
- prevent harm or misuse of the Petsly platform.
6.8 Business transfers
If Petsly is involved in a merger, acquisition, investment transaction, restructuring, financing, sale of assets, due diligence process, business transfer, or similar transaction, personal information may be transferred as part of that transaction.
Where this happens, we will take reasonable steps to ensure appropriate confidentiality and data protection safeguards.
Anonymised, aggregated, and de-identified data
We may create and maintain anonymised, aggregated, or de-identified datasets derived from information processed through Petsly.
These datasets may be used for:
- analytics
- product improvement
- research
- reporting
- service reliability
- trend analysis
- risk modelling
- insurance insights
- veterinary care insights
- operational planning
- security monitoring
- development of new Petsly features.
Before information is included in an anonymised, aggregated, or de-identified dataset, we take reasonable steps to remove or transform direct identifiers, such as names, email addresses, phone numbers, account identifiers, and other information that directly identifies a user.
Where practical, we also apply safeguards designed to reduce the risk of re-identification, including aggregation, suppression of small sample sizes, access controls, and technical separation from directly identifiable account records.
We do not use anonymised, aggregated, or de-identified datasets to identify individual users.
We do not sell identifiable personal information.
We may retain anonymised, aggregated, or de-identified information for longer periods where it can no longer reasonably be used to identify a user and where it is used for legitimate analytical, statistical, research, security, reporting, or product improvement purposes.
Where anonymised, aggregated, de-identified, or derived data includes or was created from Google user data, Petsly's use and transfer of that data will continue to comply with the Google API Services User Data Policy, including the Limited Use requirements.
International transfers
Some of our service providers, systems, infrastructure, or partners may process or store information outside South Africa.
Where personal information is transferred outside South Africa, we take reasonable steps to ensure that appropriate safeguards are in place, including contractual protections, lawful transfer mechanisms, and security controls required under applicable law.
Legal basis for processing
We process personal information where one or more of the following applies:
- you have consented
- processing is necessary to provide Petsly services to you
- processing is necessary to perform a contract
- processing is necessary to comply with a legal obligation
- processing protects a legitimate interest of Petsly, our users, partners, or third parties
- processing is necessary to protect safety, security, property, legal rights, or the integrity of the Petsly platform
- processing is otherwise permitted by applicable law.
Where we process sensitive or special-category information, including pet health-related records or information linked to insurance, we do so only where authorised by you, necessary to provide the service, required by law, or otherwise permitted under applicable law.
Consent
Where we rely on consent, you may withdraw your consent at any time by contacting us or using the relevant account settings.
Withdrawing consent may affect your ability to use certain Petsly features. For example, if you revoke Google Calendar access, calendar-sync features may stop working.
Withdrawal of consent does not affect processing that took place before consent was withdrawn.
Data retention
We keep personal information only for as long as reasonably necessary for the purposes described in this Privacy Policy, unless a longer retention period is required or permitted by law.
Retention periods may depend on:
- whether your account remains active
- whether the information is needed to provide Petsly services
- legal, regulatory, tax, audit, insurance, or accounting requirements
- dispute resolution needs
- backup and disaster recovery processes
- fraud prevention and security requirements
- whether the information is required for legitimate business records.
If you delete your account or request deletion, we will delete, de-identify, or anonymise personal information unless we are legally permitted or required to retain it.
Backup copies may remain for a limited period until they are overwritten or deleted through ordinary backup processes.
Security
We use reasonable technical and organisational safeguards to protect personal information against loss, misuse, unauthorised access, disclosure, alteration, or destruction.
These safeguards may include:

- secure cloud infrastructure

- backup and recovery controls

- least-privilege access practices
- technical separation of certain datasets

No method of internet transmission or electronic storage is completely secure. We cannot guarantee absolute security.
Your privacy rights

- request correction of inaccurate, irrelevant, excessive, outdated, incomplete, misleading, or unlawfully obtained information
- request deletion or destruction of personal information

Google account permissions and revocation
You can revoke Petsly's access to your Google account at any time through your Google Account permissions settings.
If you revoke access, Petsly will no longer be able to access the relevant Google user data. Some Google-integrated features, such as Google Calendar sync, may stop working.
You may also request deletion of Google user data held by Petsly by contacting support@petsly.app.
Where Google user data has been included in anonymised, aggregated, de-identified, or derived datasets, we will handle that data in accordance with the Google API Services User Data Policy, including the Limited Use requirements.
Children
Petsly is not intended for use by children without appropriate parental or guardian involvement.
If we become aware that we have collected personal information from a child without appropriate authority, we will take reasonable steps to delete or limit that information.
Direct marketing
We may send service communications, product updates, educational content, or marketing communications where permitted by law.
You may opt out of marketing communications at any time by using the unsubscribe link in our emails or by contacting us at support@petsly.app.
We may still send important service, account, legal, billing, or security communications even if you opt out of marketing.
Third-party links and services
Petsly may contain links to third-party websites, services, veterinary providers, insurers, payment providers, or partners.
We are not responsible for the privacy practices of third parties. You should review their privacy policies before providing information to them.
Information quality
We take reasonable steps to ensure that personal information is accurate, complete, and updated where necessary.
You are responsible for ensuring that the information you provide to Petsly is accurate and up to date, especially pet health, appointment, vaccination, insurance, and contact information.
Account deletion
You may request deletion of your Petsly account by contacting support@petsly.app.
After receiving a valid deletion request, we will delete, anonymise, or de-identify your personal information within a reasonable period, unless we are legally permitted or required to retain it.
Certain records may be retained where necessary for legal, regulatory, tax, insurance, security, fraud prevention, dispute resolution, or legitimate business purposes.
Changes to this Privacy Policy
We may update this Privacy Policy from time to time.
If we make material changes, we will take reasonable steps to notify you, such as by posting the updated policy on our website, notifying you through the app, or sending an email.
The latest version will apply from the effective date shown at the top of the policy.
